Introducing an Exciting New Feature in our SaaS Management Platform: Similar and Overlapping Products
As companies grow, their SaaS stack almost always grows with them. New teams bring new tools, existing teams experiment with alternatives, and before long you are supporting multiple apps that all kind of do the same thing.
Two project management tools. Three collaboration platforms. Multiple whiteboarding apps used by overlapping teams.
Individually, none of these decisions seem problematic. But together, they create unnecessary cost, complexity, and confusion.
That is why we are introducing a new insight within our SaaS Management platform: Similar and Overlapping Products.
The hidden cost of overlapping SaaS tools
Overlapping SaaS products are one of the most common and most expensive forms of SaaS sprawl.
When multiple tools serve the same purpose, organisations often run into issues like:
- Duplicate licenses across tools with similar functionality
- Fragmented usage where teams are split across platforms instead of collaborating in one place
- Unclear ownership making it hard to decide which product should be the standard
- Missed consolidation opportunities that could significantly reduce spend
Because overlap often happens gradually, it is easy to miss, especially if you are only looking at apps one by one.
Introducing the Overlapping Products insight
The new Overlapping Products insight within our SMP is designed to surface exactly these situations.
It highlights groups of apps that overlap in functionality and users so teams can quickly identify where consolidation or rationalisation makes sense.
Instead of guessing which tools are redundant, customers now get a clear usage based view of where real overlap exists across their organisation.

How it works
SaaS Management analyses discovered applications alongside recent usage signals. An AI driven categorisation model groups products with similar feature sets into clusters of similar apps.
The insight surfaces clusters where at least one user actively uses two or more products within the same group. This ensures the overlap shown is based on real usage rather than theoretical similarities.
To provide additional context, each cluster includes categorisation details and a short explanation of why the apps were grouped together.
Compare overlapping products in depth
Alongside identifying overlap, the new offering gives customers the ability to deeply compare similar applications in one unified view.
These comparison insights are designed to support confident decisions around standardisation and optimisation and include:
App overview and data
A high level summary of each app including state, owners, costs and key metadata.
User overlap
A visual overview of how many users overlap between products helping teams understand whether tools are used by the same cohorts or by entirely different groups.
Historical users by month
A twelve month timeline per product that highlights adoption trends and changes over time.
Per product license breakdown
For apps with direct license integrations, detailed license information is provided to support optimisation and right sizing decisions.
Detailed user breakdown
A complete list of users across the cluster showing exactly which apps each person actively uses.
Together, this creates a single source of truth for evaluating overlapping tools and deciding on a clear path forward.

Turn overlap into opportunity
SaaS should empower teams not quietly increase costs or complexity.
With Similar and Overlapping Products, our SMP gives organisations clarity into where duplication exists and the insight needed to act on it. The result is a more intentional SaaS stack that supports collaboration, reduces waste and scales with confidence.
The new insight is available now for all customers.
